Invoice requirements by country: what each preset changes
Ten country presets handle the invoice requirements by country that differ most: the currency, paper size and date format, whether the heading reads Invoice or Tax Invoice, what your tax ID is called, and which tax lines appear by default. Pick one and the editor changes accordingly, with a checklist of what to show. No sign-up, no watermark, a PDF in under a minute, and nothing uploaded.

What a country preset changes
A preset is a bundle of defaults applied in one click. It sets:
- Currency and number format. CAD, USD, GBP, AUD, NZD, EUR, INR, ZAR or SGD, with that locale’s symbol, decimals and separators.
- Paper size. Letter for Canada and the United States, A4 everywhere else.
- Date format. YYYY-MM-DD in Canada and South Africa, MM/DD/YYYY in the United States, DD/MM/YYYY for the rest.
- Heading wording. Australia, New Zealand, India, South Africa and Singapore switch the document title from “Invoice” to “Tax Invoice” when a tax line with a rate above zero is present.
- ID labels. The tax ID field in the From block is labelled GST/HST No., EIN, VAT Reg. No., ABN, GST No., VAT No., VAT ID, GSTIN or GST Reg. No. to match, and the client’s ID label changes with it.
- Default tax lines. The named taxes at their standard rates, ready to edit or remove.
- A checklist. Six reminders of what an invoice in that country usually shows, ticked off as you fill the fields.
Invoice requirements by country: the ten presets
GST countries. Canada sets CAD, Letter paper and a GST/HST No. label, with a province picker that loads GST, HST, PST, RST or QST lines for that province. Australia sets AUD, A4 and an ABN label with GST at 10%, and the heading switches to Tax Invoice when GST applies. New Zealand uses NZD, a GST No. label and GST at 15%; Singapore uses SGD, a GST Reg. No. label and GST at 9%; both use the Tax Invoice heading. India sets INR, GSTIN for both parties, an HSN/SAC column, a Place of supply field and a GST type picker for CGST + SGST within a state or IGST between states, at 5, 12, 18 or 28%.
VAT countries. The United Kingdom sets GBP, A4, DD/MM/YYYY dates and a VAT Reg. No. label, with VAT at 20%, 5%, 0% or no VAT line, and a reverse-charge note. Ireland uses EUR, a VAT No. label, VAT at 23%, 13.5%, 9% or 0% and a reverse-charge note. The European Union preset is the generic one: EUR, a VAT ID for both parties, a VAT rate you type and an intra-EU reverse-charge note for business customers in another member state. South Africa uses ZAR, a VAT No. label, VAT at 15% and the Tax Invoice heading.
Sales tax. The United States preset sets USD, Letter paper, MM/DD/YYYY dates, an optional EIN label and one editable sales-tax line whose rate you type, because rates vary by state and city.
Presets are defaults, not advice
Every rate is a default as of the date at the bottom of this page, and all of them are editable. Presets are starting points — confirm current rates and requirements with your tax authority. The checklist does not check your figures and cannot tell you whether you should be registered or which rate applies to your goods. No preset is a guarantee that an invoice meets the law where you are.
How to choose
Choose the preset for the country where your business is registered for tax, not where the client is. If you are not registered for VAT or GST, the UK and Ireland presets have a no-VAT option, and in any preset you can delete the tax line. If your country is not listed, start from the closest match (the EU preset for another VAT country, the US preset where there is no VAT) and change the currency and labels by hand.
Frequently asked questions
Which preset should I use if my client is in another country?
Use the preset for the country where your business is registered for tax, because that decides which taxes you charge and which ID you print. Then change the currency under Document settings if you bill in the client's currency. For business customers in another EU member state, the EU preset offers a reverse-charge note.
Can I change the tax rate a preset loads?
Yes. Each tax line has an editable name and rate, a compound flag for tax on tax, and a tax-inclusive toggle. Presets load the standard rate as a default; if your goods or services use a reduced or zero rate, change the line or pick the rate from the VAT-rate or GST-type picker where the preset has one.
Does the preset make my invoice legally valid?
No. It sets labels, default rates and a checklist of fields that invoices in that country usually show. Whether you must register, which rate applies and what your records must contain are questions for your tax authority or accountant. Presets are starting points — confirm current rates and requirements with your tax authority.
