How to make a invoice in one minute
- Choose Singapore under Country preset. Currency switches to SGD, Paper size to A4, Date format to DD/MM/YYYY, your ID label to GST Reg. No. and the customer's to UEN.
- Fill in From with your business name, address and GST Reg. No., then Bill to with the customer's name, address and UEN.
- Keep the GST line at 9% under Totals, or remove it if you are not GST registered. While a rate is set, the heading reads Tax Invoice.
- Add Line items with a Description, Qty, Unit and Rate. The amount before GST, the GST and the total including GST update as you type.
- Check the Invoice number, Date and Due date, add Payment details such as your bank name and account number or a Pay online link, then press Download PDF.
What an invoice in Singapore must show
The Singapore preset carries a six-item checklist based on what a tax invoice usually needs, and each item maps to a field. Presets are starting points — confirm current rates and requirements with your tax authority.
The heading “Tax Invoice” when you are GST registered. The Document title changes to Tax Invoice automatically while the GST line has a rate. Remove the line and it reads Invoice again.
Your name, address and GST registration number. These go in From, where the ID label reads GST Reg. No.; the editor keeps them in your business profile so they are prefilled next time.
Invoice date and an identifying number. The Date prints as DD/MM/YYYY and the Invoice number counts up from the last one you issued, with a warning if you reuse a number.
The customer’s name and address. Bill to holds them, plus a UEN field. The UEN, or Unique Entity Number, is the identifier every business registered in Singapore has; printing it makes the invoice easy to match on the customer’s side. Individuals do not have one, so leave the field empty for private customers.
A description, quantity and amount for each item. One line per product, service or block of time, with Description, Qty, Unit and Rate. The Amount column is calculated.
The GST amount and the total including GST. The totals block shows the amount before GST, the GST line at 9% and the total. IRAS also allows a simplified tax invoice with fewer details for small amounts; fill in every field and you cover both forms.
The preset also selects SGD as the currency and A4 as the paper size, and adds a notes line, “Payment due within 30 days.” Payment details take your bank name and account number, or a Pay online link if you bill through a payment page.
GST at 9% in the invoice generator for Singapore
Singapore has a single GST rate, 9% since 1 January 2024, so the preset adds one GST line rather than a picker. Exports of goods and international services can be zero-rated: keep the line and set the rate to 0 so the invoice shows GST at 0% rather than no GST at all. Exempt supplies, such as most financial services and the sale or lease of residential property, carry no GST; remove the line for those. The 9% figure is a default as of the build date and is editable.
If you are not GST registered, remove the GST line, leave GST Reg. No. empty and the heading reads Invoice. Registration becomes compulsory when taxable turnover passes S$1 million, measured over a twelve-month period looking back or forward, and IRAS explains the two tests; voluntary registration is possible below that.
Prices quoted to consumers in Singapore are often GST-inclusive. Turn on tax-inclusive under Totals and the editor works backwards from the price you type, printing the amount before GST, the GST and the total. When you invoice in a foreign currency, IRAS expects the GST amount and total to be shown in Singapore dollars as well; the editor does not convert, so add the SGD figures in Notes.
Your data stays on your device
Your Singapore tax invoices, GST registration number and customer UENs are stored in this browser only and never sent to a server. The PDF is generated in your browser by a small worker; nothing is uploaded, and there is no account to create. Drafts, clients and your business profile live in your browser's local storage (IndexedDB), and one button under "Your data" deletes all of it. To verify, open your browser's developer tools, watch the Network tab while you fill in and download a document, and note that no request carries your details. Frequently asked questions
Do I need to be GST registered to issue an invoice in Singapore?
No. Any business can issue an invoice; only a GST-registered business issues a tax invoice and charges GST. If you are not registered, remove the GST line under Totals, leave the GST Reg. No. field empty and send the document with the heading Invoice. Only registered businesses may charge GST, so do not add the line just because it is there.
When must a business register for GST?
When taxable turnover exceeds S$1 million. IRAS applies two tests: a retrospective one over the past twelve months at the end of each calendar year, and a prospective one when you expect to pass the threshold in the next twelve months. Voluntary registration is possible below it. The figures and tests are IRAS's; confirm them there before you act.
What is the difference between an invoice and a tax invoice in Singapore?
A tax invoice is issued by a GST-registered business and shows its GST registration number, the GST charged and the total including GST; a registered customer needs it to claim input tax. An invoice from an unregistered business asks for payment with no GST. The preset prints Tax Invoice while a GST rate is set and Invoice when it is not.
What is a UEN and where does it go?
The Unique Entity Number is the identifier ACRA and other agencies assign to companies, sole proprietors and other entities registered in Singapore. The Singapore preset labels the customer's ID field UEN under Bill to. It is not compulsory on a tax invoice, but customers who process many invoices find it useful. Your own ID field is labelled GST Reg. No.
Can I show prices inclusive of GST?
Yes. Turn on the tax-inclusive toggle under Totals and enter the price the customer pays as the Rate. The editor back-calculates the GST at 9% and prints the amount before GST, the GST and the total including GST, so the tax invoice still shows the tax separately. Prices displayed to consumers in Singapore are generally expected to include GST.
Can I invoice in US dollars or another currency?
Yes. Change Currency in the document settings; SGD is only the preset default. If you are GST registered and the invoice is in a foreign currency, IRAS expects the GST amount and the total to also be shown in Singapore dollars, converted at an acceptable exchange rate. The editor does not convert, so add those SGD figures in Notes.
Is this an InvoiceNow e-invoice?
No. InvoiceNow is Singapore's e-invoicing network, built on Peppol, and IRAS is phasing in a requirement for GST-registered businesses to transmit invoice data through it, starting with newly registered ones. This tool creates a PDF on your device and sends nothing anywhere. If the InvoiceNow requirement reaches your business, you will need an InvoiceNow-ready solution alongside or instead of it.
