How to make a invoice in one minute
- Fill in From (your business) and Bill to (the client). Both are remembered on this device for next time.
- Check the invoice number, date and due date. The number increments automatically; pick Net 30 or another term and the due date follows.
- Add line items: description, quantity, unit and rate. Press Enter on the last rate field to add another line.
- Set taxes and discount under Totals. Choose a country preset to load GST, HST, VAT or sales tax lines with the right labels.
- Add notes and payment details, then press Download PDF. Print and Email are next to it.
What to include on an invoice
An invoice needs to answer four questions for the person paying it: who is asking, what for, how much, and by when. The editor’s sections follow that order.
Who. Your business name, address and a way to contact you sit in the From block. If you are registered for a sales tax, add the registration number: the label changes with the country preset, so it reads GST/HST No. in Canada, VAT Reg. No. in the UK, ABN in Australia and GSTIN in India. The Bill to block carries the client’s name, company and address; for business customers in VAT countries, their tax ID belongs here too.
What. One line per product, service or block of time. Write descriptions the client will recognise (“Kitchen tap replacement, labour” rather than “Work”). Quantity accepts up to four decimals so 2.5 hours or 0.75 days are fine, and the unit column (hrs, days, pcs, kg) makes the rate unambiguous. The amount is calculated for you.
How much. The subtotal adds the lines. A discount can be a percentage or a fixed amount and is applied before tax unless you switch it. Each tax line shows its name, rate and amount, and a tax-inclusive toggle handles prices that already include tax. Shipping, an amount already paid (a deposit, for example) and the balance due complete the totals block.
By when. The invoice date, a due date or payment term, and the payment details: bank name and account, IBAN and sort code, an e-transfer email or a payment link, which is printed as a “Pay online” link in the PDF.
Add a unique invoice number, a short thank-you or terms line, and you have a complete invoice. The seven-line checklist in the editor turns green as each part is filled in.
How this invoice generator numbers, dates and tracks invoices
Sequential numbers are not decoration: accountants and tax authorities expect every invoice to have a unique number in one unbroken series. The editor keeps a counter per document type (invoices, receipts, estimates and so on each have their own) and warns if you reuse a number that exists in your history. Prefixes are yours to change, so 2026-001 works as well as INV-0001.
The due date is calculated from the term you choose. Net 30 suits corporate clients who run payment batches; freelancers and trades usually pick Net 7 or Due on receipt. State the term on the invoice and, if you charge late fees, say so in the terms block. When the client pays, mark the invoice as paid: the status shows in your history and a receipt can be issued from the same data without retyping anything.
Your data stays on your device
Every invoice you make here is created and saved on your own device, never on a server. The PDF is generated in your browser by a small worker; nothing is uploaded, and there is no account to create. Drafts, clients and your business profile live in your browser's local storage (IndexedDB), and one button under "Your data" deletes all of it. To verify, open your browser's developer tools, watch the Network tab while you fill in and download a document, and note that no request carries your details. Frequently asked questions
Is this invoice generator really free?
Yes. There is no account, no trial, no watermark and no limit on the number of invoices. The site is paid for by display ads, which never appear inside the editor or next to the Download button. You can turn off the small "Created with One Minute Invoice" line in the footer settings.
How should I number my invoices?
Use one sequence that never repeats or skips: INV-0001, INV-0002 and so on. The editor increments the counter per document type and warns you if a number is already in your history. If you already have invoices elsewhere, type your next number once and the counter continues from there.
What does Net 30 mean?
Net 30 means the full amount is due 30 days after the invoice date. Due on receipt means pay now; Net 7, 14 or 15 are shorter terms common with freelancers. Choose a term in the editor and the due date is calculated for you, or set a custom date.
What is the difference between an invoice and a receipt?
An invoice asks for payment and states when it is due. A receipt confirms that payment was received, with the date and method. When a client pays, use Mark as paid and the editor offers to create the matching receipt from the same details.
How do I send the invoice to my client?
Download the PDF and attach it to an email, or press Email: it opens your mail app with the subject and a short message prefilled, and reminds you to attach the file. Nothing is sent from this site because it has no server.
Can I edit an invoice later?
Yes. Every document is autosaved to your browser's storage as you type. Open it from Recent documents, change what you need and download again. Duplicate creates a copy with the next number for repeat billing.
Which taxes can I add?
Up to three tax lines, each with its own name and rate, such as GST and PST, or CGST and SGST. A compound flag applies tax on tax where that is the rule, and a tax-inclusive toggle back-calculates tax from prices that already include it. Presets are starting points; confirm current rates with your tax authority.
