How to make a invoice in one minute

  1. Three sample lines are prefilled: mowing visits, hedge trimming in hrs and mulch in cubic yards. Replace each Description, Qty, Unit and Rate with this month's work.
  2. Fill in From with your business and Bill to with the customer. Type the address you serviced in the Property field.
  3. Set Invoice number and Date, then choose Due on receipt under Terms to match the prefilled terms.
  4. Under Totals, add a Tax line if lawn services or materials are taxed where you work, and enter anything already paid in Amount paid.
  5. Edit the Notes (service window and green waste), add Payment details and press Download PDF.

How to invoice for lawn care

Lawn care is billed per visit, usually monthly in arrears, while landscaping projects are quoted and billed per job. The sample invoice carries both. The first line is a month of routine service: mowing, edging and blowing, front and back, September, four visits at 55 with visits as the unit. The second is hourly landscaping work, hedge trimming on the side boundary, two hours at 60. The third is a material: two cubic yards of mulch, delivered and spread, at 85 per cubic yard.

Materials such as mulch, sod or plants are listed with a quantity and a unit so the customer can check them against what arrived. Give delivery or spreading its own line if you charge for it separately, rather than hiding it in the material price.

The Property field prints above the line items and helps when one customer owns several addresses, or when a management company pays for a property it does not occupy. Fill it in for every invoice and the customer’s records stay tidy.

Seasonal contracts state the service window and the visit frequency in Notes. The prefilled Notes read “Seasonal service runs April to October. Green waste removed and composted.” Edit the months to your season and mention anything a customer might otherwise ask about, such as whether clippings are removed.

Due-on-receipt terms are common for residential customers, and the prefilled terms go one step further: accounts over 30 days are paused until settled. Choose Due on receipt under Terms, and the Due date matches the invoice date.

What the lawn care invoice template prefills

A per-visit line, an hourly line and a material line with quantities, units and rates, a Property field, seasonal notes and due-on-receipt terms. Your business details, the customer, any tax line and payment details are yours to add. Keep the month and the visit count in the mowing description so each invoice reads as one period.

Your data stays on your device

Customer addresses, visit counts and rates are kept in this browser only, never on a server. The PDF is generated in your browser by a small worker; nothing is uploaded, and there is no account to create. Drafts, clients and your business profile live in your browser's local storage (IndexedDB), and one button under "Your data" deletes all of it. To verify, open your browser's developer tools, watch the Network tab while you fill in and download a document, and note that no request carries your details. Frequently asked questions

Should I bill per visit or per month?

Per visit, invoiced monthly in arrears, is the usual pattern for mowing: the sample shows September's four visits at 55 each on one line, with visits as the unit. Landscaping jobs such as a bed rebuild are quoted and billed per job instead, with their own lines for labor and materials.

How do I bill materials like mulch or sod?

List each material with its quantity and unit so the customer can check it: the sample has two cubic yards of mulch, delivered and spread, at 85 per cubic yard. Sod, plants and stone work the same way. If delivery or spreading is a separate charge, give it its own line rather than raising the material price.

Do I charge sales tax on lawn care?

Rules differ by state and country, and materials are often treated differently from mowing labor. Keep materials and labor on separate lines, add a Tax line under Totals if you are registered, and tick it only on the lines it applies to; each line has a checkbox per tax. Confirm current rules with your tax authority.

How do I invoice a customer with several properties?

Put the customer in Bill to and the address you serviced in the Property field, which prints above the line items. Send one invoice per property so each one is clear, using Duplicate to create the next from the first with a new number, or list the addresses in the descriptions on one invoice.

What if a customer does not pay?

The prefilled terms say payment is due on receipt and that accounts over 30 days are paused until settled, which is a clear and fair rule for seasonal work. Resend the PDF from Recent documents with a reminder, and keep the status at Sent until you press Mark as paid.

Can I reuse the invoice every month?

Yes. Save as template stores your rates, units and terms for New from template. Each month, open the last invoice from Recent documents and press Duplicate: it gets the next number and today's date, then change the month and visit count in the description and add any extra work as new lines.
