How to make a estimate in one minute
- Fill in From with your business and Prepared for with the customer. Both are saved on this device for the invoice that follows.
- Check the Estimate number, the Date and Valid until. The sample notes say 30 days, so set Valid until to match.
- Replace the sample lines (Supply and fit composite front door, anthracite, with frame, 1,650; Remove and dispose of existing door, 80) with your own items and rates, and add a tax line under Totals if you charge one.
- Edit Notes (validity and lead time) and Terms and conditions (the 40% deposit on acceptance and the exclusion for structural repairs) to say what you are and are not promising.
- Turn on the Signature line for Accepted by and press Download PDF. When the customer accepts, press Convert to invoice.
How to write a quote that gets accepted
A quote is a fixed-price offer: if the customer says yes, that is the price. An estimate is an approximation that may move. Use the title that matches your promise; this template prints Quote at the top, and the Document title field lets you change it to Quotation. The sample is a door supply-and-fit job.
Price the whole job, line by line. Two sample lines show the pattern: the main item, Supply and fit composite front door, anthracite, with frame, at 1,650, and the related work, Remove and dispose of existing door, at 80. Separate lines let the customer see what they are paying for; taxes go under Totals so the Estimated total is what they will pay.
Say how long it stands. The Valid until date, echoed in the notes as “Quote valid for 30 days”, protects you when material prices change; after it, the customer asks again rather than holding you to an old figure.
Say what is not included. The terms carry an exclusion: “Price excludes any structural repairs found on removal.” Exclusions prevent the argument, three weeks in, about whether extra work was in the price. List the ones that apply to your trade.
Set the money terms up front. The sample terms ask for a 40% deposit on acceptance and the notes give a lead time of approximately 4 weeks. A customer who knows the deposit, the timing and the balance has no reason to hesitate.
Give them somewhere to sign. The Accepted by signature line turns the quote into an agreement when it comes back signed, or when the customer confirms in writing. One click then converts it into an invoice with a new number and the same lines.
What the quote template prefills and what to change
The door job is a sample. Replace both lines, the rates, the validity period, the deposit percentage and the exclusion so they describe your job; your business details and the customer are saved on this device, so the invoice that follows starts from the same data. A price quote template earns its keep by being specific, so write each description the way you would explain it on site.
Your data stays on your device
Every quote you prepare here, with your prices and your customer's details, is stored in this browser on your own device and never uploaded. The PDF is generated in your browser by a small worker; nothing is uploaded, and there is no account to create. Drafts, clients and your business profile live in your browser's local storage (IndexedDB), and one button under "Your data" deletes all of it. To verify, open your browser's developer tools, watch the Network tab while you fill in and download a document, and note that no request carries your details. Frequently asked questions
What is the difference between a quote and an estimate?
A quote is a fixed price for defined work; once accepted, that is what you charge unless the scope changes. An estimate is your best guess and the final bill may differ. Both use the same fields here, including Valid until and Accepted by; choose the title that matches what you will stand behind.
How long should a quote be valid for?
Long enough for the customer to decide, short enough that your costs cannot move against you. The sample uses 30 days, which suits most trades; jobs with volatile material prices often use 14. Set Valid until in the meta block and repeat it in the notes so it cannot be missed.
Should I ask for a deposit on a quote?
For work that involves ordering materials or booking time, most trades do. The sample terms ask for 40% on acceptance, which covers the door before it is fitted. State the percentage, when it is due and what it secures; when it arrives, the invoice you convert to shows it under Amount paid.
What should I exclude from a quote?
Anything you cannot price until you start, and anything the customer might assume is included but is not: structural repairs found on removal, making good decoration, waste disposal, parking or access charges. Put them in Terms and conditions as one short list. An exclusion you wrote down is a conversation; one you did not is a dispute.
Does the customer have to sign the quote?
A signature on the Accepted by line is the clearest form of acceptance, but a reply by email saying go ahead is usually treated the same way. Keep whichever form of acceptance you receive with the quote. How acceptance works in your jurisdiction is a legal question this page does not answer.
