How to make a invoice in one minute

  1. Type your business under From and the customer under Bill to; if the work was done elsewhere, put that property in Job address.
  2. Replace the sample descriptions and rates on the call-out, labour and parts lines, then press Add line for more parts or an after-hours line.
  3. Check Invoice number and Date, then pick Due on receipt under Terms if you collect payment when the job is done.
  4. Under Totals, add your tax line (the Canada preset loads GST or HST with the right label) and enter any deposit as Amount paid.
  5. Read the prefilled Notes and Terms and conditions, set the warranty period you offer, then press Download PDF.

How to invoice for plumbing

Most plumbing invoices have three kinds of line, and the template opens with one of each. The first is the call-out or diagnostic fee, a fixed amount for arriving and finding the fault; the sample charges 95.00 for a kitchen leak. The second is labour, with the quantity in hours (1.5 in the sample) and your hourly rate, or quantity 1 and a flat rate if you price per task; the unit column defaults to hrs. The third is parts, listed with quantity and unit price so the customer can see what was fitted; the sample lists a valve and supply line as one lot at 42.80.

Replace the descriptions with what you actually did and keep them specific. Keep parts on their own lines, because some regions tax parts and labour differently and a mixed line hides the split. Emergency or after-hours work belongs on a separate line at the higher rate, described as such.

The Job address field records where the work was done when that is not the billing address, which is common with landlords and property managers. The prefilled Notes promise 12 months on the work and the manufacturer warranty on parts; edit the period to match what you offer, because clear warranty text reduces call-backs and disputes. The Terms and conditions line says payment is due on completion by card, e-transfer or cash; change it to Net 7 or Net 14 for commercial customers, and add your e-transfer email or bank details under Payment details.

Reusing the plumbing invoice template for repeat work

Once your From block, rates and warranty note are right, press Save as template; New from template then starts each job from your version instead of the sample. For regular customers, Duplicate copies the previous invoice with the next number so only the lines need editing. When the customer pays, Mark as paid records the status in Recent documents.

Your data stays on your device

Your plumbing invoices, customer list and job addresses are stored only in this browser, never on a server. The PDF is generated in your browser by a small worker; nothing is uploaded, and there is no account to create. Drafts, clients and your business profile live in your browser's local storage (IndexedDB), and one button under "Your data" deletes all of it. To verify, open your browser's developer tools, watch the Network tab while you fill in and download a document, and note that no request carries your details. Frequently asked questions

Should I charge a call-out fee or bill by the hour?

Most plumbers do both: a fixed call-out or diagnostic fee covers travel and finding the fault, and labour is billed on top by the hour or at a flat rate per task. The template shows them as two lines. If your hourly rate already includes the call-out, delete the first line.

How do I show parts and labour separately on a plumber invoice?

Keep them on different lines. Labour lines use hrs in the unit column with your hourly rate; parts lines use each or lot with the price you charge for the part. Separate lines are easier to check and keep the parts total visible where parts and labour are taxed at different rates.

What if the job address is different from the customer's address?

Use the Job address field above the line items. It prints in the meta block next to the invoice number and date, so a landlord or property manager paying from an office can see which property was worked on. If both addresses are the same, leave it empty.

How do I bill emergency or after-hours plumbing work?

Give it its own line at the higher rate with a description that says so, such as an after-hours labour line for a Sunday call-out. A separate line shows exactly what the premium was for, which is easier to explain than one inflated hourly figure.

Can I add GST, HST or PST to a plumbing invoice?

Yes. Under Totals you can add up to three tax lines with their own names and rates. The Canada preset with your province loads GST, HST or GST plus PST with the right labels and a GST/HST No. field. Presets are starting points; confirm current rates and how labour and parts are treated with your tax authority.

Can I turn an estimate into this invoice, and the invoice into a receipt?

Yes. Quote the job in the estimate generator and press Convert to invoice when the work is done: the lines and customer carry over and the invoice takes the next number. When the customer pays, Mark as paid updates the status in Recent documents and offers a receipt made from the same details.
