How to make a receipt in one minute

  1. Fill in Issued by with the seller's name and contact details and Received from with the payer's. For a private sale, a name and a phone number or email on each side is enough.
  2. Check the Receipt number and set the Payment date to the day the cash was handed over.
  3. Describe what was paid for precisely in the line item, including any serial or frame number, and enter the amount as the rate. The sample reads Used bicycle, blue, frame no. 44812 (sold as seen).
  4. Payment method is already set to Cash. For a part payment, enter what you received under Amount paid so the Balance remaining shows.
  5. Press Download PDF, then print two copies or email the file: one for the payer, one for your records.

What a cash receipt should record

Cash leaves no trail of its own. A card payment shows up on two statements; a handful of notes shows up nowhere unless someone writes it down. That is why both the payer and the receiver should keep a copy of a cash receipt. This template is for sellers, landlords and businesses recording cash they actually received.

Who paid and who received it. Issued by names the seller or business; Received from names the payer. On a private sale, contact details on both sides make the receipt worth keeping.

What the money was for. Be precise. The sample line, Used bicycle, blue, frame no. 44812 (sold as seen), shows the pattern: the item, an identifying detail such as a serial number, and the condition it was sold in. For a service, name the job and the date it was done.

How much. The rate on the line becomes the total; the sample is 180. To spell the amount out as well, add it to the Notes, which are prefilled with “Received in cash. No warranty is given or implied.” Keep or change the warranty sentence to match what you agreed.

When and how. Payment method is set to Cash and Payment date should be the day the money changed hands. Payment reference can stay empty for cash, or hold something useful such as “paid at collection”.

Paid, or partly paid. When the amount paid matches the total, the Receipt template prints a Paid mark. For a part payment, enter the sum received under Amount paid and the Balance remaining is calculated for you.

What the cash receipt template prefills

The bicycle sale is a sample so you can see a finished receipt before typing. Replace the two names, the description, the rate and the notes; the receipt number, the date and the Cash method are already set. If you take cash regularly, the seller profile and the counter carry over to the next receipt on this device, and Recent documents keeps the history, so this cash receipt generator doubles as a simple cash book.

Your data stays on your device

Every cash receipt you write here, and the names on it, is stored only in this browser on your own device; there is no server to send it to. The PDF is generated in your browser by a small worker; nothing is uploaded, and there is no account to create. Drafts, clients and your business profile live in your browser's local storage (IndexedDB), and one button under "Your data" deletes all of it. To verify, open your browser's developer tools, watch the Network tab while you fill in and download a document, and note that no request carries your details. Frequently asked questions

Do I have to give a receipt for a cash payment?

Rules differ by place and by what is sold; in some places a receipt is required whenever the payer asks. Whatever the rule, giving one is the sensible default: cash cannot be traced later, so a dated receipt with the payer's name, the item and the amount is the only evidence either side has.

How do I keep records of cash payments I receive?

Number every receipt in one sequence and never skip or reuse a number; the editor increments the counter and warns about duplicates. Keep your copy of each PDF, or rely on Recent documents, which stores every receipt on this device and can regenerate the file. Export data produces a JSON backup for your bookkeeping.

Should I write the amount out in full as well as in figures?

It is optional, but it removes any doubt about a digit. Enter the amount as the rate so the total is calculated, then add a line to the Notes such as one hundred and eighty dollars. Larger cash amounts, or anything that might be disputed, are where spelling it out is worth the extra seconds.

What if the buyer pays part in cash now and the rest later?

Keep the line at the full agreed price and enter the cash received under Amount paid. The receipt shows the amount paid and the Balance remaining, and no Paid mark is printed. When the rest arrives, duplicate the receipt with the new date and amount; that second receipt carries the Paid mark once the balance is zero.

Is a cash receipt different from an invoice?

An invoice asks for money not yet paid and states when it is due. A cash payment receipt confirms money already handed over. If you sold something on the spot and were paid there and then, you need only the receipt; if the buyer is paying later, send an invoice first and issue the receipt when the cash arrives.
