How to make a receipt in one minute

  1. Fill in Issued by with your business and Received from with the client who paid, or open the invoice from Recent documents and press Mark as paid to have both blocks filled for you.
  2. Check the Receipt number (its own REC- sequence) and enter the Original invoice number the payment settles.
  3. Set the Payment date to the day the money arrived, choose the Payment method (Bank transfer is prefilled) and type the Payment reference.
  4. Describe the payment on the line, as in the sample Payment against invoice INV-0042 dated 5 September 2026, and enter the amount. For a part payment, use Amount paid so the Balance remaining shows.
  5. Press Download PDF, or press Email to open a message to the client with the subject filled in.

What a payment receipt should record

A payment receipt closes the loop an invoice opened: the invoice said what was owed and by when; the receipt says the money arrived, how much, on which day and by what route. The business that was paid issues it to the client who paid, so both sides can match a real payment to the invoice in their records.

The invoice it settles. The Original invoice number field ties the receipt to the invoice, and the sample line repeats it in plain text: Payment against invoice INV-0042 dated 5 September 2026, amount 860. Keeping both means the receipt still makes sense if it is filed away from the invoice.

When, how and under what reference. Payment date is the day the money was received, not the invoice date. Payment method is prefilled as Bank transfer; change it to card, cheque, cash or e-transfer. Payment reference is the transaction ID, cheque number or the reference on the transfer, and it is what lets a bookkeeper on either side find the payment on a statement.

Full or partial. When the amount received equals the invoice total, the Receipt template prints a Paid mark, and the prefilled Notes read “Thank you. This receipt confirms payment in full of the invoice referenced.” For a part payment, put the invoice total on the line and the sum received under Amount paid; the receipt shows the Balance remaining instead of the mark, so change the notes too.

Its own number. Receipts use the REC- prefix and their own counter, separate from invoice numbers. A receipt numbered INV-0042 against invoice INV-0042 confuses every ledger it lands in.

If the invoice was created here, you rarely need to fill this form at all. Open it from Recent documents and press Mark as paid: the status changes to Paid and the editor offers the receipt with business, client, invoice number and amount in place. Add the payment date, method and reference and download. Used this way the template is a proof of payment receipt a business sends to confirm money it actually received, kept in local history next to the invoice it settles.

The PDF is generated in your browser by a small worker; nothing is uploaded, and there is no account to create. Frequently asked questions

What is the difference between a receipt and an invoice?

An invoice is a request: it lists what was supplied and asks for payment by a due date. A receipt is a confirmation: it records that payment was received, when and how. One invoice may end up with several receipts if the client pays in installments; each receipt should name the invoice it applies to.

How do I write a receipt for a partial payment?

Put the full invoice amount on the line and the sum received under Amount paid; the receipt prints the amount paid and the Balance remaining, with no Paid mark. Edit the notes so they do not say payment in full. When the next installment arrives, duplicate the receipt with the new date, amount and reference.

Can I make the receipt from the invoice without retyping anything?

Yes. Open the invoice from Recent documents and press Mark as paid. The invoice status becomes Paid and the editor offers a receipt carrying the business, client, invoice number and total. Add the payment date, method and reference, check the notes and download. Both documents remain in your history.

What should I put as the payment reference?

Whatever identifies the payment on a statement: the bank transfer reference the client used, a transaction ID from your payment link, a cheque number or an e-transfer confirmation code. For card payments, the terminal or gateway reference is enough; never write the full card number. If there is no reference, leave the field empty.

Do I have to give a receipt for every invoice that is paid?

Not always; often the invoice marked paid and the bank record are enough. Clients who pay by cash or cheque, or who must show their own bookkeeper that a bill is settled, will ask, and it costs nothing to send one. Rules on the records a business must keep vary, so check yours.
