Sales receipt listing two handmade items, a tax line, card payment and a Paid mark

How to make a receipt in one minute

  1. Fill in Issued by with your business name, address and tax ID, and Received from with the buyer. A name alone is fine for a walk-up sale.
  2. Check the Receipt number and set the Payment date to the day of the sale.
  3. Replace the sample lines (Handmade ceramic mug, 350 ml, quantity 2; Gift wrapping, quantity 1) with what was sold. Press Add line for more items.
  4. Under Totals, add your sales tax or VAT line, or pick a Country preset to load it with the right label. Choose the Payment method (Card is prefilled) and add a Payment reference if you have one.
  5. Keep or edit the returns note in Notes, then press Download PDF.

What a sales receipt should record

A sales receipt covers a sale paid for when it happened: goods handed over, money received, no invoice in between. It is what a maker, a market seller or a small business gives the buyer and keeps for its own books. The layout is a clean business receipt with issuer, buyer, items, tax, payment details and a Paid mark, not a printed till slip, for recording real sales.

The seller and the buyer. Issued by carries your business name, address and, if you charge sales tax or VAT, the registration number, which a business buyer may need. Received from can be a full address or just a name.

Each item. One line per product with quantity, unit and rate. The sample has two: Handmade ceramic mug, 350 ml, quantity 2 at 24, and Gift wrapping, quantity 1 at 3. Say what the item is and its size or variant, in case the buyer comes back with a question or a return.

Tax. Sales tax or VAT shows on its own line under Totals with its name and rate. A Country preset loads the usual label and rate for your country, and the tax-inclusive toggle back-calculates tax from prices that already include it. Presets are starting points; confirm current rates with your tax authority.

Payment. Payment method is prefilled as Card; change it to Cash or Bank transfer, and use Payment reference for a terminal or transaction reference. Because the sale is paid in full, Amount paid equals the total and the Receipt template prints its Paid mark.

Your policy. The Notes read “Returns accepted within 14 days with this receipt.” Replace the period or conditions with your own returns policy so the buyer has it in writing.

What the sales receipt template prefills and what to change

The mugs and the gift wrapping are placeholders. Replace both lines and set your tax line once; the seller profile and tax settings are remembered on this device. Sellers with a fixed range of products can enter their usual items, press Save as template and start each receipt from New from template. Used this way the page is a sales receipt generator for a stall, a studio or a workshop, with every receipt kept in Recent documents.

Your data stays on your device

Your product lines, buyers and every sales receipt you issue are stored in this browser on your own device and never uploaded. The PDF is generated in your browser by a small worker; nothing is uploaded, and there is no account to create. Drafts, clients and your business profile live in your browser's local storage (IndexedDB), and one button under "Your data" deletes all of it. To verify, open your browser's developer tools, watch the Network tab while you fill in and download a document, and note that no request carries your details. Read the privacy policy and how it works for the details.

Frequently asked questions

What is the difference between a sales receipt and an invoice?

An invoice asks for payment later and carries a due date; a sales receipt records a sale paid at the time. If a buyer takes goods and pays on the spot, the receipt is the only document you need. If they pay later, issue an invoice, then a receipt when the money arrives.

Do I need to show sales tax or VAT on a sales receipt?

If you charge it, show it: a separate line with the tax name, rate and amount lets a business buyer see the tax and lets you total it for your own return. Add the line under Totals or load a Country preset. Presets are starting points; confirm rates and what receipts must show with your tax authority.

Is this a till-style receipt?

No. The layout is a plain business receipt: who sold, who bought, what, tax, how it was paid and a Paid mark. It does not imitate a printed till slip, and it is for businesses and sellers recording sales they actually made, as the written receipt behind a real sale.

How do I record a return or an exchange?

For a refund, make a credit note from the credit note generator and reference the receipt number so the two match. For an exchange with a price difference, issue a new sales receipt for the difference, or a credit note if money goes back to the buyer, and quote the original receipt number in the notes.

Can I save my products so I do not retype them every time?

Enter your usual items once and press Save as template; New from template then starts a receipt with those lines in place and the next receipt number. To repeat one particular sale, open it from Recent documents and press Duplicate. Both are stored in this browser, with no account needed.
