How to make a receipt in one minute

  1. Fill in Issued by with the landlord's or property manager's name and address, and Received from with the tenant's name. Both are remembered on this device.
  2. Check the Receipt number (the counter increments on its own) and set the Payment date to the day the rent arrived.
  3. Edit the custom fields Rental period (prefilled 1 Oct 2026 – 31 Oct 2026) and Property (12 Maple Street, Apt 4), then change the line description and rate to the actual rent.
  4. Choose the Payment method (E-transfer is prefilled) and type a Payment reference, such as the transfer confirmation or cheque number.
  5. Press Download PDF. The Receipt template prints a Paid mark when the amount paid covers the total.

What a rent receipt should record

A rent receipt is a landlord’s written confirmation that a tenant paid rent for a real tenancy: who paid, for which property, for which period, how much and by what method. Landlords and property managers issue one per payment; tenants keep them and sometimes need them for a tax credit or a housing benefit claim.

The parties. Issued by carries the landlord’s name and address; Received from carries the tenant’s. If a property manager collects rent on the owner’s behalf, the manager goes in Issued by.

The property and the period. Two custom fields sit in the meta block: Rental period, prefilled as 1 Oct 2026 – 31 Oct 2026, and Property, prefilled as 12 Maple Street, Apt 4. The rental period is the detail most authorities and benefit offices look for, so give the first and last day the payment covers, not just the month.

The amount. One line is enough: Rent for October 2026, 12 Maple Street, Apt 4, quantity 1, unit month, rate 1,450. For a part payment, enter what arrived under Amount paid: the receipt shows the amount received and the Balance remaining, and the Paid mark stays off until the balance is cleared.

How it was paid. Payment method is prefilled as E-transfer; change it to cheque, cash or bank transfer, and add the Payment reference, such as a transfer confirmation code or cheque number. Method and reference are what show that the money actually changed hands.

The confirmation. The Notes read “Rent received in full for the period shown. Thank you.” Keep that, or use the wording of your tenancy agreement. The document title prints as Rent Receipt.

Using the rent receipt template every month

Replace the names, the property, the period, the rent and the payment details before you download. Next month, open the receipt from Recent documents and press Duplicate: the copy takes the next receipt number, and you change only the rental period, payment date and reference for each monthly rent receipt. Your data stays on your device

The tenant's name, the property address and every rent receipt you issue stay in this browser on your own device; nothing is sent to a server. The PDF is generated in your browser by a small worker; nothing is uploaded, and there is no account to create. Drafts, clients and your business profile live in your browser's local storage (IndexedDB), and one button under "Your data" deletes all of it. To verify, open your browser's developer tools, watch the Network tab while you fill in and download a document, and note that no request carries your details. Frequently asked questions

Do landlords have to give rent receipts?

In many places a landlord must give a written receipt when the tenant asks, and often whenever rent is paid in cash; the rule depends on where the property is, so check your local tenancy rules. Even where nothing requires it, a dated receipt with the period and method protects both sides if a payment is questioned later.

What if the tenant paid only part of the rent?

Keep the line at the full rent for the period and enter what actually arrived under Amount paid. The receipt shows the amount received and the Balance remaining, and no Paid mark is printed until the balance is zero. When the rest comes in, issue a second receipt for that payment with its own number and date.

How do I make a monthly rent receipt without retyping everything?

Open last month's receipt from Recent documents and press Duplicate. The copy keeps the landlord, tenant, property and rent and takes the next receipt number; update the Rental period, Payment date and Payment reference, then download. Landlord and tenant details are also saved on this device, so a new receipt autocompletes them.

Which date goes on a rent receipt: the payment date or the period?

Both, in different places. Payment date is the day the money was received. Rental period is the span the payment covers, such as 1 Oct 2026 – 31 Oct 2026, and it can differ from the payment date when rent is paid early or late. Stating both is what makes the receipt useful for a benefit office or a tax claim later.

Is a rent receipt the same as a rent invoice?

No. An invoice asks for rent that is due and states a due date; a receipt confirms rent already paid. If you bill rent in advance, make an invoice from the home page, and when the tenant pays, press Mark as paid: the editor offers to create the matching receipt with the same details and a new receipt number.
